Operations/Back Office Roles

There are numerous and varied roles across our back office departments, however, all involve the vital day-to-day administration of client accounts, supporting all of our front office locations, and providing exceptional customer service to both internal and external clients.

Accounts and Finance
The Accounts team are responsible for client money, undertaking tasks such as banking client monies, moving or paying out monies due to clients including the arrangement of non-standard payments such as CHAPS, Faster Payments and international payments and credit control.

The Finance team deals with the firm’s monies which includes a daily calculation to ensure that client monies are segregated from the firm’s own monies, making payments, and dealing with enquiries relating, to third party suppliers, dealing with employee expenses and  payroll, branch debits, monthly reconciliations, VAT returns and calculations, various management and regulatory reporting.
Audit, Compliance, Risk and Regulation
This area of the firm provides ‘second line of defence’ oversight of the firm’s adherence to regulatory requirements along with regulatory and guidance support throughout the firm. Oversight includes adherence to anti-money laundering, financial crime, market abuse regulation, data protection and security requirements to a wide range of conduct of business issues including financial promotions and fitness and propriety matters for approved persons

Compliance also is heavily involved in setting and overseeing compliance with policies such as the training and competence schemes and also many regulatory policies. The Policy team lead on new proposed primary regulation both from UK and EU e.g. MiFID II and also responding to FCA consultation papers for changes to UK financial services regulation.
Communications, Marketing and PR
The primary function of Marketing and PR is to increase the firm’s profile and promote the firm’s service offering. The team coordinates promotional activity in relation to the firm’s services and products through a range of communication channels including the firm’s website, client literature, direct mail, events and seminars, advertising, point of sale  and also PR including editorial and promotion of commentators for  print, radio, television and online.

The Communications team provides support services throughout the firm, but primarily to Marketing, Compliance and to the firm’s stockbrokers and investment managers. The team’s main focuses are the improvement and provision of client and prospect data, the deployment of direct mailings and the administration of the firm's client web access facility.
Corporate Actions and Dividends
Corporate Actions deal with all capital events including takeovers, rights issues, demergers and conversions. They interpret data from companies and registrars and then disseminate information to relevant shareholders in a timely manner. On average, the Corporate Actions team deals with over 1,200 events each year. 

The Dividends team deal with income payments, and is split between International Equity, UK Equity and Unit Trusts. Each area has different challenges in terms of tax, currency and claims. The team deal with all income payments including dividends, interest payments, accumulations and property income distributions.
Transfers & Settlement
This area of the business is concerned with the safe custody of client assets from account opening of nominee and CREST sponsored member accounts, along with the transfer of stock to-and-from other custodians and settlement of purchases and sales in the market. The team undertake a number of administrative tasks and liaise with other teams in the firm, along with internal and external clients and also other custodians.

This area of the business undertakes all aspects of administration on ISA, JISA and pension accounts. Duties include processing of cash subscriptions, opening of new accounts, cash withdrawals, dealing with technical questions – from stock eligibility to HMRC guidance and rulings.
Data Management
Provides data administration services for the firm. For example, they are responsible for the set-up of clients, agents, securities, counterparties, branches along with other requirements within the firm’s database.  The team generates a number of reports for various areas around the firm along with stock and cash reports and file transfers to CREST, the settlement system through which stock trades are exchanged and settled.
HR, Organisational Development and Training
The teams in this area are focused on the firm’s effectiveness and ability to achieve its key business priorities by support recruitment, performance and development. They take responsibility for relevant strategies, policies, structures and systems, working closely with the Compliance team on matters including: training and competence, supervision and assessment of approved persons, corporate governance framework and associated policies and procedures, the firm's code of conduct, staff handbook along with pre-registration and employment checks. 
Investment Operations
This team has a varied role from coordinating involvement in new issue placings, providing probate valuations and investment analysis. Additionally, they contribute comment and written articles for client publications and also in response to requests from the media.
IT
IT is responsible for all of the firm’s front and back office technology including our client database, the dealing system and our Client Web Access portal. The team is based in London and provides support and development for numerous business requirements.
